Property Finance Operating System: an operating platform for UK property finance law firms. Matter management, lender playbooks, document generation, and AI-assisted review in one system.
The Problem
Property finance law is high-volume, deadline-driven, and heavily regulated. Every loan transaction involves multiple parties, lender-specific requirements, compliance checks, and a stack of documents that must be exactly right. In most firms, that knowledge lives in people's heads and inboxes: which lender wants which conditions, which template to use, what has to happen before completion. It works until the person who knows is on leave, or the volume doubles.
A specialist property finance law firm engaged Kaev to change that: turn the firm's way of working into software, without compromising the human sign-off that regulated legal work demands.
The Platform
PFOS is a full practice-management platform where every loan transaction becomes a structured matter with its own lifecycle: parties, compliance checks, tasks with SLA tracking, due diligence, conditions, completion, and post-completion. Everything runs on an append-only audit trail with role-based access designed for regulated legal work.
Lender Playbooks
Each lender's requirements live as versioned configuration: templates, standard conditions, and a requirements knowledge base. The firm's institutional knowledge is systemised rather than held in people's heads, and updating a lender's playbook updates it for every matter that follows.
Document Generation
The platform generates the firm's real working documents - certificates of title, drawdown requests, completion statements, security packs - from lender templates, through a four-eyes approval pipeline. Nothing goes out on one person's say-so.
Email Ingestion and AI Review
Inbound email is ingested automatically: attachments are filed to the right matter and status updates are proposed for one-click human confirmation. An AI assistant reviews enquiry replies against each lender's rules - always as drafts, always human-approved.
Governance First
The architecture is governance-first: nothing leaves the system without a person signing it off. AI accelerates the work; it never gets the final word. Combined with the append-only audit trail and role-based access, every action in the system is attributable, reviewable, and reversible in process terms.
Stack
TypeScript, Next.js, PostgreSQL with Drizzle, a background job queue, S3-compatible document storage, and the Anthropic API. Deployed on Linux with CI via GitHub.
Status
PFOS is in active development under a private client engagement, launching in 2026. There is no public URL yet; details that could identify the client are intentionally left out.
